Dental Receptionist / Front Office Coordinator
About the Role
ROLES & RESPONSIBILITIES:
• Serve as the warm, professional first point of contact — greeting patients in person and over the phone with courtesy and efficiency
• Manage the appointment schedule to maximise productivity and minimise gaps or double-bookings
• Coordinate treatment planning, recalls, follow-ups, and handle no-shows/cancellations
• Maintain accurate and up-to-date patient records, ensuring nothing slips through the cracks
• Process payments, invoices, health fund claims, and manage accounts receivable with precision
• Handle patient enquiries via phone, email, or in-person calmly and competently
• Support the clinical team by preparing the day’s schedule and communicating changes effectively
• Contribute to a positive and professional practice atmosphere
QUALIFICATION:
• Proven experience in a reception or administrative role (dental experience preferred but not mandatory)
EXPERIENCE:
• Prior experience in a front office or reception role
• Experience with dental practice software is a plus
SKILLS:
• Strong organisational skills with high attention to detail
• Excellent communication and interpersonal skills
• Ability to stay calm under pressure and manage busy periods effectively
• Confident with numbers, scheduling logic, and invoicing
• Professionalism, reliability, and a patient-focused mindset
• Computer literacy and ability to learn software quickly
