Associate - RAPV Business Operations
About the Role
Roles & Responsibilities:
• Coordinate onboarding and offboarding of RAPV vendors, consultants, and tools
• Manage new hire logistics including system access, equipment setup, and workspace coordination
• Maintain vendor master data (legal entity, tax settings, payment terms) in ERP/procurement systems
• Ensure compliant role-based access to RAPV systems (RIM, EDMS, eCTD tools, translation portals)
• Manage offboarding activities including system access termination, PO reconciliation, document archiving, and audit-ready record retention
• Create, process, and manage Purchase Orders (POs) for RA-PV services across multiple locations
• Ensure accurate PO details (pricing, quantities, payment terms) linked to contracts/MSAs/SOWs
• Route POs through approval workflows and resolve exceptions
• Monitor open POs, track invoices, manage spend visibility, and close completed orders
• Support KPI and metrics data collection and reporting
• Serve as central point of contact for onboarding, offboarding, and PO-related queries
• Collaborate with Regulatory Affairs, Pharmacovigilance, Quality, Legal, HR, IT, Procurement, and Finance teams
• Identify and implement process improvements aligned with compliance and internal controls
Qualification:
• Associate’s or Bachelor’s degree in Business, Life Sciences, Supply Chain, Finance, or related field
• Equivalent relevant experience may be considered
Experience:
• 2–4+ years in operations support, procurement, accounts payable, vendor onboarding, or shared services
• Experience within life sciences (pharma, biotech, medical devices) or regulated industries preferred
• Experience with ERP/procurement systems (e.g., SAP, NetSuite, Coupa, Ariba, Workday) preferred
• Experience in IT systems support or business operations is an advantage
Skills:
• Proficiency in Microsoft Office, SharePoint, Teams, and OneDrive
• Strong knowledge of procurement and PO management processes
• High attention to detail and documentation discipline (GxP compliance mindset)
• Strong stakeholder coordination and communication skills (English – written & verbal)
• Analytical and problem-solving abilities
• Process improvement and internal controls orientation
• Ability to manage sensitive regulatory and financial information with integrity
